Creating an architecture and construction budget is really hard. Once work starts progressing, it can become a total nightmare to manage proposals, bids and payments.
We’ve found that standardizing proposals, invoices and the budget in one format is the key to success.
For example, this is a design proposal for a small section of our overall budget:
This is an invoice for that same work, note how we are billing $800 against the approved proposal amount of $1,000:

It seems so obvious and easy, but the alternative is you get a proposal from an architect. This is typically in a pdf or word document. Then you create your own excel budget and enter the bills as you receive invoices. Those invoices are based on hours worked and it’s up to the owner or architect to reconcile that. Then it gets really messy when you try to add a contractors bid to this situation.
